Sample Letters of Recommendation for the Rhodes Scholarship
First, the rules for writing any recommendations apply: the letter should be specific about your relationship to the student, and the length of time you have known them, and offer a candid and detailed assessment of their abilities. The most useful general rule I can give you to guide you as you write for the Rhodes is that the program is both academic and ambassadorial, and the program takes both functions very seriously. We will be sending our students out as individual scholars and as cultural ambassadors who we believe will have a productive experience and be good representatives of Willamette, of their home communities, and of their country. This much is true of the Fulbright and most other programs that take our graduates abroad. For the Rhodes you must also stress the student’s potential to be an important contributor to their discipline, and the ways in which their service and leadership are not just strong, but extraordinary. You may not be able to comment on all areas of their experience, but for the UK programs it is especially important to provide as much detail as you can in the areas where you know the student well. Finally, one of the key ingredients for the UK programs is that the applicant be able to make a strong case for why the program they wish to pursue is the absolute best way for them to receive the training and experience they desire; any information you can add to support that case can be helpful (this curriculum would be difficult or impossible to achieve in the U.S. for example, or the UK program would allow them access to unique resources such as interdisciplinary or inter-institution collaborative projects).

Please see the Queen Mary Graduation webpages for information on Graduation Ceremonies. Please be advised that the Student Enquiry Centre is not involved with Graduation and you will find answers to your questions on the Graduation website.
Degree Certificates (UG and PGT)
Students awarded in september or october 2023.
Please be advised that your certificates will not be presented to you during your Graduation Ceremony. Instead, your certificate will be posted to the home address on your record by the end of December. You will be emailed once your certificate has been posted with tracking information.
Update your address by the deadline:
All students should ensure that their home address is correct in MySIS by 17:00 on Friday 24 November 2023 .
You will not be able to collect your certificate in person or nominate someone to collect it on your behalf.
What happens if you do not update your home address: Changes to your home address after the deadline will not be made to the postage address of your certificate as we will have printed the label.
- If your certificate is posted to the incorrect address because you did not update MySIS in time, you will need to wait for it to be returned to us. We will then contact you to arrange a re-delivery.
- If your certificate is posted to the incorrect address and tracking information confirms that your certificate has gone missing, you should purchase a replacement.
Please do not contact us about not receiving your certificate or attempt to purchase a replacement until after Tuesday 2 January 2024.
Students awarded in July 2023 or earlier
For those students who received notification of their award in or prior to July 2023, your certificate was either presented to you during your Graduation Ceremony or it has been/will be posted to your home address. If you have not received your certificate then please contact [email protected] or see below regarding what to do if you have not received your certificate .
Digital Degree Certificate (UG and PGT)
New for July 2023! We have introduced a digital degree certificate for undergraduate and postgraduate taught students. This will be published to your Gradintelligence account. More information can be found on our Digital Degree Certificate webpage.
Degree Certificates (PGR)
Postgraduate Research students (i.e. PhD students) are awarded monthly. The degree certificate will be posted to the results address in MySIS within 3 months of the date you were notified of your award and will not be presented during the Graduation Ceremony.
Please contact [email protected] if 3 months have passed and you have not received your certificate. Please note that you must contact us within six months to tell us if your certificate has not arrived so that we can look into the issue and provide you with a free replacement document where necessary. If you contact us after six months have passed then it is likely you will need to purchase a replacement.
Degree certificates are legal documents and we must ensure that there is only one in existence at any given time.
Unless presented at a Graduation Ceremony, certificates are posted within three months of the date you were notified of your award to the address you specified on your student record that you wanted it to be posted to.
- If your certificate was posted to the correct address and less than six months have passed since you were notified of your award
Please contact us to let us know that it hasn’t arrived and we will look into it for you. We can arrange for a free replacement to be sent if necessary (postage charges may be applicable).
- If your certificate was posted to the correct address and more than six months have passed since you were notified of your award
You must let us know within six months if your certificate has not arrived. If six months or more have passed since you were notified of your award and you haven't contacted us to tell us, it is likely that you will need to purchase a replacement .
- If your certificate was posted to the wrong address
You are asked to keep your MySIS address details up to date throughout your studies. At the point you were awarded, you were reminded of the postal address that your certificate would be sent to and asked to update it. If you did not do this and subsequently have not received your certificate, you should purchase a replacement.
- If your certificate has been returned to the Student Enquiry Centre
We will email you notify it has been returned to us and arrange a re-delivery.

If eligible, your HEAR (digital transcript) will be updated shortly after your official results publication date and be available on Gradintelligence once you have activated your account , which you can view and share with other institutions and employers. This is a free service and is accessible indefinitely.
The HEAR is a Diploma Supplement and is an explanatory document attached to any higher education qualification, acting as a supplementary explanation of the qualification. The name ‘Diploma Supplement’ derives from the common European practice to refer to any qualification generally as a ‘diploma’ and therefore it is important not to confuse the Diploma Supplement with any one particular qualification. Students awarded at undergraduate and/or postgraduate levels (e.g. B achelor's and Master's degrees) can receive a HEAR (Diploma Supplement) and the document itself describes details such as the name, level and classification of the award.
The HEAR provides a standardised description of the nature, level, content and status of the studies completed by its holder according to standards agreed by the Commission, the Council of Europe and the United Nations Educational, Scientific and Cultural Organization (UNESCO).

Aid for PhD Students
The Graduate School of Arts & Sciences (GRS) awards various types of fellowship aid to PhD students. All newly admitted PhD students will receive a 5-year fellowship offer, which may be a combination of a non-service fellowship (such as a Dean’s Fellowship), teaching fellowship, or doctoral research fellowship, depending on the department of admission.
The fellowship is contingent upon you maintaining Good Academic Conduct, maintaining Good Academic Standing, and making Satisfactory Academic Progress, as defined by your department and the Graduate School of Arts and Science. This funding includes a full tuition scholarship, mandatory student fees, payment of the premium for BU’s basic Student Health Insurance Plan (SHIP); and a living stipend as described in your admission offer letter. Non-service fellowships provide a stipend and scholarship for exceptional students to focus primarily on their degree coursework with no departmental research or teaching responsibilities. Students awarded non-service fellowships are required to enroll in a full load of academic courses as determined by the department.
Teaching Fellowships
A Teaching Fellowship provides a stipend and a full scholarship and an opportunity for graduate students to gain classroom experience under the close supervision of the faculty members who have the formal responsibility for the courses to which the teaching fellows are assigned. Your obligation in this fellowship would include instructional duties assigned by your department. Instructional and other duties total approximately 20 hours per week.
Doctoral Research Fellowships
Doctoral Research Fellowships provide a stipend and scholarship for exceptionally qualified students in return for research work done for the department. Your obligation in this fellowship will include research duties assigned by your department that total no more than 20 hours per week.

The Graduate School of Arts & Sciences (GRS) is pleased to announce the creation of the Bloom Dissertation Fellowships. These fellowships have been created thanks to the generous estate gift of CAS alumnus, Laurence A. Bloom (DGE’66, CAS’68). These competitive Fellowships are designed to provide summer funding to GRS doctoral students in the social sciences and the humanities, who will be in their final summer prior to graduating, enabling them to focus on completing their dissertation.
Eligibility
To be eligible to apply, a doctoral student must:
- Be enrolled in a program in the humanities or social sciences, or if outside these two divisions, use social science methods in their research (e.g. in Earth & Environment or Economics)
- Not already receive 12 months of support
- Be completing their degree in December 2023 or Spring 2024
This fellowship provides up to four months of funding, at a monthly rate of $3,187.75 (summer 2023).
Application
To apply for this Fellowship, students must submit:
- A cover letter describing how this opportunity would help them advance their dissertation research and/or writing. The letter should also indicate how many months of support the applicant is requesting (up to four months; and funding will not be given for any time that is covered through other sources of funding).
In addition to the cover letter, the student must ask for the following letters to be sent via email to [email protected] (please include your BU ID )
- A letter of recommendation from their dissertation advisor indicating their support of the candidate’s application.
- A letter of support from the department chair or program director, and confirming that the candidate does not already have 12 months of funding—from internal and/or external sources.
Applications and all supporting letters are due by November 15, 2022 for summer 2023 . A committee will review all applications and notify awardees in late Fall 2022.

Graduate Internship Funding Program (GIF)

Social Science PhD Internship Program

Graduate Research Abroad Fellowships (GRAF)

The Graduate School of Arts & Sciences has established a fellowship program, the Graduate Research Abroad Fellowship (GRAF) , to support foreign-based research by doctoral students in the Graduate School of Arts and Sciences whose field-based or archival research requires an extended period of residence in another country or countries.
GRAF awards may not be used for foreign-based study or training such as acquiring language skills, equipment, personal expenses not related to the GRAF proposal, or for attending professional conferences. GRAF awards are non-service and are in addition to a student’s 5 year funding package. They cannot be used during a semester where the student receives a teaching or research fellowship.
There are two kinds of Graduate Research Abroad Fellowships:
- The Short-term GRAF supports travel and living costs during a period of study abroad up to, but not exceeding, 3 full months. For trips taken during the academic year when students will normally be supported by another fellowship, up to $4,000 in travel costs can be provided. For trips during the summer (June 1 through August 31) a fellowship can provide up to $6,000.
- The Long-term GRAF enables a student to spend an extended period (4 or more months/at least a full semester) of foreign-based field or archival research. It provides up to $16,250 to cover living, travel, and research expenses. A Long-term GRAF also provides Continuing Study Fees and the cost of participation in the basic BU student health plan for the time the student is abroad.
Fellowships will be awarded to students nominated by their departments and recommended by a faculty committee.
- Applicants should have completed their prospectus and other doctoral program requirements except the dissertation by the time the proposed project is scheduled to begin . An exception to this may be made in disciplines where travel would be necessary to complete the prospectus, however this can only apply to short-term GRAF proposals.
- Applicants must be registered as BU GRS PhD students. For help with initiating a continuing student registration for students who will not be registering for classes, please contact your Department Administrator.
- Applicants must not have a conflicting teaching or research fellowship . For example, if a student receives a TA fellowship in Fall 2023, then they should not be traveling during that semester. Additionally, a student should not have a research fellowship during their semester of travel.
- Applicants must disclose other forms of funding for their research, and if they previously received a GRAF or GRUF award. Failure to do so will result in a disqualification for that cycle.

Application Process (GRAF I Cycle)
Phase I : Interested students will submit their application via InfoReady by 11:59 PM on November 1, 2023. Late applications will not be accepted. This will include:
- GRAF Budget Template
- If approval is not granted before the application deadline, a copy of the email to IRB is admissible, however applicants will not be awarded funds until IRB approval is received.
- An unofficial transcript (A screenshot from the StudentLink is preferred)
- A letter of recommendation from the student’s advisor (this will be due on November 17th and will be submitted via a link sent by InfoReady)
- Describes the problem or question that the proposed research will address, links it to existing scholarship on the topic, and shows why the research will best allow for you to to answer or illuminate it. Remember that the review committee has a broad membership across disciplines.
- Includes a proposed timeline for the project along with travel locations.
- Clearly discloses all other forms of funding received or being applied to for the project. (Failure to do so can result in your award being rescinded should you be selected).
- A disclosure of previous GRUF or GRAF support received and why the applicant should receive additional GRAF funding.
Phase 2 : Submitted applications will then be routed to the student’s home department/program and Director of Graduate Studies (or equivalent faculty member) to be considered for nomination. Departments will need to approve or deny nominations via InfoReady by 11:59 PM on November 17, 2023. They will also need to include a filled and signed copy of the GRAF DEPT Acknowledgement Form .
Phase 3: Nominated students will then be reviewed by the GRAF Committee with award decisions being made by mid-December 2023. Decisions will be sent via an InfoReady email to all applicants and their department administrators.
Departmental Phase 3 Submissions
There is no limit on the number of short term GRAF proposals that a department/program can advance to Phase 3; however, only a maximum of 3 long-term GRAF proposals per department/program will be considered .
Please note that preference will be given to applicants who have not previously received a GRAF or GRUF award.
GRAF Award Terms
In order to receive a GRAF stipend, students must be registered as BU GRS students for the semester of their project travel.
Failure to disclose other forms of research funding can result in the loss or reduction of the GRAF award.
All students awarded GRAF will need to submit the following upon completion of their travel:
- A one page summary detailing what they accomplished and recommendations for future GRAF recipients.
- A copy of flight receipts.

This fellowship is open to students from any GRS department or program whose research needs additional sources of funding. GRUF awards may not be used for foreign-based study or for attending professional conferences. GRUF may be used for other research or professional opportunities (such as a field school or workshop).
GRUF awards are non-service and are in addition to a student’s 5 year funding package.

GSO Travel Grants
Twice a year, the Graduate School of Arts & Sciences Graduate Student Organization (GSO) accepts applications for travel grants. The GSO offers two types of awards :
- Presentation travel grants : For students planning on directly participating in a conference or research forum by presenting a paper or poster, participating in a discussion panel, or chairing a discussion or paper session.
- Research travel grants : For students planning to visit an archive, attend a training workshop, or use a research facility.

Tuition Scholarships
Your PhD funding includes a qualified tuition scholarship as defined in 26 USC Section 117(a) of the U.S. Internal Revenue Code; it is contingent upon you maintaining Good Academic Conduct , maintaining Good Academic Standing , and making Satisfactory Academic Progress ; it is not contingent upon your appointment as a teaching or research fellow and is not taxable to you as the recipient.
Your fellowship covers the cost of tuition for up to 18 credits per semester, as long as they are required by your degree or are necessary for your research (with approval from your DGS and advisor). It does not cover the cost of courses that are not required (ex: Physical Education (PDP) course ). The tuition for 11 or less credits is calculated on a per credit rate; whereas the cost for 12-18 credits is a flat fee. For example:
- If a student enrolls in 14 credits that are degree requirements, then adds 1 to 4 credits that do not count towards their degree (ex: a Physical Education (PDP) course ), and the total credits does not exceed 18, the additional 1 to 4 credits will not generate an additional tuition charge.
- If this student (who has 14 credits of degree requirements plus 1 to 4 credits that do not count towards their degree) decides to drop a 4-credit degree requirement, this leaves only 10 credits of degree requirements and only this 10 credits will be covered by scholarship. In this case, the student will be responsible for the payment of the additional 1 to 4 credits (ex: a PDP course). Please keep this in mind when adding and dropping any of your courses.
Each semester, once you have registered, you will need to make sure your student account is “settled” by the semester’s payment deadline . Please log in to the MyBU Student Portal and click on the “Money Matters” tab to view your charges & credits once you have finalized your spring registration.
You may have receive an automated email (“e-bill”) from Student Accounting Services (SAS). SAS sends out automated email notifications to all undergraduate and graduate students (and may apply late fees) as most students at Boston University are not in a fully funded PhD program and are therefore responsible for payment. While GRS PhD students should never ignore emails from SAS, as there could be a legitimate reason for the balance ( Physical Education (PDP) course , sports pass, convenience points, MBTA pass, something that is not covered), they do not need to worry about any late fees if all we had to do is adjust their scholarship.
GRS generally applies the same amount of scholarship to the fall and spring semesters assuming the student will continue to enroll in the same number of credits in both semesters. Once the initial scholarship has been applied, we wait until the end of the spring semester’s add/drop period (mid-October/late February) to manually reconcile everyone’s registration and scholarship. The majority of our PhD and MFA students will continuously add and drop classes over a six-month period which is the reason why our office waits until the end of the add/drop period before we start reconciling any scholarships. You may email us at [email protected] as soon as you have finalized your course selection for the semester so that we can adjust your scholarship right away. Please include your BU ID when emailing our office.

Payment Deadlines
Payment/Settlement Procedures
Sports Pass
Students who enroll full-time (or are certified full-time) are automatically enrolled in the Sports Pass each year. The Sports Pass is not a membership to the University’s FitRec Center (that’s already included in your Health & Wellness Fee and it is covered by your fellowship). The Sports Pass costs $140 per year and it allows you admission to all home events at the Agganis Arena. The cost of the Sports Pass is not covered by your fellowship. For individualized information regarding your Sports Pass, or to cancel your sports pass prior to September 1, visit the MyBU Student Portal and go the Money Matters tab. To cancel your Sports Pass after September 1, please bring your BU ID card to the Agganis Arena Ticketing Office to ensure your Sports Pass has not been used. For additional questions regarding the Sports Pass and the charge on your account, please contact the Agganis Arena Ticket Office at 617-353-4628.
Health Insurance
As part of your fellowship award, the University will cover the cost of your individual participation in the Boston University Basic Student Health Insurance Plan ($3,280 in AY23-24). Students who opt to purchase the Boston University Student PLUS Plan ($4,403 in AY23-24) will be responsible for payment of the difference in the premium amount ($1,123 in AY23-24) by the payment deadline for the Fall semester. Please refer to Student Health Services for more information. The University will not cover any health insurance costs for dependents. Family coverage is available at an additional cost to the student.
Health insurance coverage extends from August 15, 2023 through August 14, 2024 for students who are enrolled in the Fall semester 2023. Please note that coverage takes effect once fall registration has been processed or on August 15, whichever is later.
Students who are required to have health insurance are automatically enrolled in the Boston University Basic Student Health Insurance Plan (SHIP).
Who is required to have health insurance?
Under the laws of Massachusetts, the following students are required to participate in a qualifying health insurance plan:
- Students certified as full-time
- Students who are registered for 75% or more of a full-time course load (nine or more credit hours for most schools)
- International students (students who are not U.S. citizens and who do not have approved refugee or permanent resident status)
Part-time students are not automatically enrolled but can request to be enrolled. If a student wishes to waive the insurance, a health insurance waiver form must be submitted. For more information about insurance coverage and deadlines for enrollment/waivers, please consult Student Health Services .
Graduate students receive an insurance credit of half the cost ($1,640 in fall 2023/$1,640 in spring 2024) in each semester that they receive a stipend of at least $5,000 (refer to insurance credit info for service stipends and non-service stipends ). Students who do not receive a stipend of at least $5,000 in both fall and spring may be responsible for the payment of any remaining balance by the payment deadline . Students who graduate in January or who go part-time in spring can enroll in fall only coverage before December 31; in this case, the coverage will end on December 31 but they will not have to pay the full annual premium.

Dental Care
Students have the option to purchase Dental Care through the University, which is not included in the fellowship award.
Residency Requirement
As a residential institution, BU’s expectation is that PhD students will be on campus unless research or fieldwork away from campus is required. Students seeking a PhD from the Graduate School of Arts & Sciences are required to be in residence in the Boston area during at least the first five years (fall, spring, and summer) to engage in University and departmental activities. The purpose of the doctoral residency requirement is to ensure students experience a period of concentrated attention to study, teaching, research, and interaction with faculty. Students who leave the Boston metropolitan area during their first five years may forfeit their fellowship funding.
Employment Policy
The purpose of fully supporting our graduate students is to allow them to engage wholly in their scholarly work and to devote the attention necessary to complete their studies in a timely fashion. We expect that you will not be employed outside of Boston University. Graduate School of Arts & Sciences policy limits the amount of additional paid work that may be assigned to graduate students in any semester when they are appointed to a Teaching, Graduate Research, or Non-Service Fellowship. For this reason, we expect students with service fellowships to devote no more than 20 hours per week to their assigned activity. While we occasionally permit PhD & MFA students to hold additional assignments, this is an exception and requires advisor and administrative approval (refer to Boston University Policies ). Under this policy, such fully funded students may be employed as graders or other similar positions for additional payment only under the following conditions:
- The assignment provides the student with an opportunity for professional growth in teaching and/or in expert knowledge of course topics or research;
- The assignment does not exceed five (5) hours/week averaged over the semester; and
- The payment is set up as a weekly salary.
Vacation Policy for PhD Students
The University’s policy is that all PhD students receiving stipend support are entitled to paid vacation time. Please refer to the University’s Policies page. International students who want to travel internationally should contact Boston University’s International Students and Scholar’s Office (ISSO) to make sure they are able to leave and return to the U.S. without any issues.
Good Academic Conduct

Good Academic Standing
The Graduate School of Arts & Sciences requires graduate students to maintain Good Academic Standing in order to remain enrolled in their graduate program and/or to retain GRS scholarship and/or fellowship support. The GRS criteria for Good Academic Standing are as follows:
- Have no more than two failing or W grades.
- Meet all milestones of the degree, such as comprehensive exams, qualifying exams, and dissertation prospectus, on the schedule specified by the program.
- Meet all milestones of the degree with sufficient quality of work as specified by the program.
- Satisfactorily fulfill all service fellowship obligations, as specified by the program.
Please note: Good Academic Standing is distinct from Satisfactory Academic Progress (SAP) and the GRS Academic Conduct Code . Please see the relevant Bulletin pages for additional information about those policies.
Satisfactory Academic Progress
Fellowships will continue for the duration of the five-year commitment if the student is making satisfactory academic progress each year, confirmed by the Graduate School of Arts & Sciences.
The GRS minimum standard for Satisfactory Academic Progress is:
- Maintain a Cumulative Grade Point Average (GPA) of 3.0 or higher
- Have no more than 2 failing grades (lower than B- or an incomplete grade older than 12 months) and/or W grades
- Pass all milestones of degree, such as comprehensive exams, qualifying exams and dissertation prospectus, on the schedule specified by the program
- Pass all milestones on the degree with sufficient quality of work as specified by the program
- Satisfactorily fulfill their service fellowship obligations as specified by the program

I am currently facing some financial difficulties, which has seen me struggle to pay my fee for the fall semester. I am planning to obtain a part-time job to manage the finances of my studies, but it would not be enough to cover the full tuition and accommodation fee. Deciding Who Should Write Your Letters of Recommendation – PhD

Letters of recommendation (LORs) are a key part of your application. Strong ones provide meaningful support, while a lukewarm one can really hurt your chances for admission. In this post, we’ll answer two questions: Who should write in support of your PhD application? How can you make sure your LORs are as good as they can be?
How to choose the best LOR writers
It is important to select LOR writers who know you well and, ideally, for a reasonably long period of time. Select individuals who can comment specifically and knowledgeably about your abilities. It is helpful if you have stayed in touch with your recommenders since you studied or worked with them.
Select writers who can address your research experience and potential. The more closely the writer’s background aligns with your field of study, the better. You should select faculty members to write the majority of your LORs for PhD programs.
If you have relevant work experience, you can also ask a current or previous employer. The employer should focus on your research potential. You can ask internship supervisors if the type of work you did as an intern is related to your intended field of study.
When you ask your recommenders if they would be willing to write in support of your application, ask whether they feel they can write a strong, positive letter. This provides a gentle way for a hesitant recommender to decline – they can admit that they don’t think they know you well enough to do so (or you might sense their hesitation), and you can move on to someone else who can and will.
How to help your recommenders write strong LORs
It is important to provide information to your recommenders that will help them write the strongest letter possible. This can include your resume, copies of work you produced for their class (for faculty members), and a list of job accomplishments (for supervisors). Also provide a list of the schools you are applying to and the specific degree programs. Include a link with instructions as to what to include in the letter. Provide all these materials at one time in an organized manner.
Offer to meet with your recommender to discuss your plans and goals. You can also send them a link to Accepted’s 10 Tips for Writers of Letters of Recommendation .
Agree on a timeline of at least several weeks for them to complete their letter. Be aware of the academic calendar if you are asking a faculty member; the final weeks of the semester are often very busy. Remember that professors go on sabbatical and might not be available at all times.
A few days before the agreed-upon deadline, send a reminder to your letter writer.
Say thank you!
Always remember to follow up with a thank you note. (Ideally, you can write another thank you note after you get in, sharing the good news!)

To be eligible for the awards, the research must address an issue that is of importance to one of the subject areas listed.
The awards are open to those who have been awarded PhD following completion of viva (thesis defence) and received formal result from institution's awards registry between 15 Jan 2020 and 28 February 2023, and have not applied previously for one of these awards.
Entries will be judged on the following criteria:
1. Originality and innovation. 2. Appropriateness and application of the methodology. 3. Quality of data/research. 4. Significance/implications for theory and practice.
Shortlisted applicants may be required to answer further questions as appropriate from the judging panel. If suitable, the winner and authors of highly commended dissertations will be invited to submit a paper, sole or co-authored, from their research within six months of winning.
Please note that the decision of the judges is final. Due to a large number of submissions, applicants will not receive any feedback.

A PhD letter of intent is used to strengthen one’s application to a graduate school, specifically for applications to complete a Doctor of Philosophy degree. This letter should outline the applicant’s qualifications, achievements, education, work experience, as well as their passion for the program for which they are applying and their goals for the future.
A letter of intent for a PhD program is also known as a “statement of purpose.” The committee in charge of new students will have a plethora of application packets to review; a PhD letter of intent will help them narrow down their options.
Applicants should make sure to include information that is relevant to the program and integral to their chances of being accepted. Each school/program will have information on their website telling students what their letter of intent should contain and may even go into detail regarding formatting and submission information.
What is a PhD?
A PhD , short for Doctor of Philosophy, is a postgraduate doctoral degree awarded to students who complete the most advanced schooling in any given discipline. This type of doctorate degree is classified as an academic degree where recipients concentrate on research, development, teaching, whereas applied degrees, such as medical doctorates (M.D.), law doctorates (J.D.), etc., focus on practical and professional careers.
Studying philosophy is not part of a PhD (although it can be), the word “philosophy” is used because of its Latin roots. For example, five of the most common PhD degrees in America are Accounting and Finance, Applied Math, Audiology, Biomedical Engineering, and Business Administration.)
All PhD students spend their education studying literature within their field, conducting research and collecting results, and completing an original thesis establishing new knowledge or a fresh point of view in their discipline. The thesis will be submitted as a dissertation and the student must discuss their thesis with examiners (called a “viva voce”) in order to earn their degree.

It is a privilege to be writing to you at this time to state my intent to pursue a degree in counseling psychology at Northwestern University. I’ve been following the details of the PhD program, and it would be an honor to take part in such a well-developed and successful program. If the committee decides I am a deserving applicant, I won’t hesitate to accept; Northwestern University is without a doubt my top choice.
I received my BA in psychology from the University of Miami and have an unblemished academic track record throughout my educational career. I maintained a 3.2 GPA and participated in a number of extracurricular activities. My passion for psychology began when I was nearing the end of high school. Witnessing the difference that the counselors made on the student body was inspiring. I intend to earn my PhD to encourage and promote innovative ideas to advance psychological research and professional counseling.
I have included a research paper in my application packet that I think will interest the committee. It demonstrates my knowledge in the field of psychology and my ability to complete complex research projects. I know I still have much to learn but my professors have stated that I have shown a lot of promise and that my desire to soak up as much knowledge as I can is going to allow me to thrive in the field of counseling psychology.
My interest in Northwestern’s counseling psychology program is heightened by the school’s exciting and influential research being completed in the psychological sciences today. I’ve heard great things about the dynamic and experienced community of scientists and scholars at Northwestern and I believe that with the right training and education, I can succeed in the discipline for which I have the utmost passion.
I am positive that my acceptance into the counseling psychology program at Northwestern will benefit both myself and the school. A letter of recommendation or LOR for a PhD is an important document required for admission into PhD programs at foreign institutions. The vital part of writing a LOR is choosing the right recommender. For a PhD SOP, the recommender should be someone who can endorse your candidature and provide an unbiased application essay. Types of LOR for PhD
International universities offering PhD require two to three LORs depending on your academic and professional experience. Two academic LORs are needed, and one professional LOR is required if you have work experience. Basically, the LOR for PhD is classified into two categories:
Academic LOR:
Academic letter of recommendation is provided by the professor of your educational institution. Most commonly, you are asked to provide two academic LORs for PhD in an international university. In such LORs, professors need to highlight the applicant’s capabilities and achievements. It should reflect the recommender’s perspective about you and your research ideas.
Professional LOR:
The applicant’s professional letter of recommendation is asked if they have any work experience. Only one professional LOR is needed in that case. It is provided by your immediate supervisor or employer. It should reflect the recommender’s perspective on your professional ability to work within a team.
How to write a LOR for PhD?
When your recommender is willing to write your LOR for PhD, you should share your research ideas, achievements, capabilities, objectives, and relevant information. The format of the LOR should consist of the answers to several questions related to your suitability for a PhD. The LOR, whether academic or professional, written by your recommender should sound realistic and authentic. The standard LOR format for PhD should have the following details:
This part of the LOR should include the details regarding the recommender. It is a brief introduction of the recommender with their current designation and professional experience mentioned in the LOR. They also need to mention their relationship and duration of association with the applicant. The details of the recommender’s association and guidance must be mentioned in the LOR.
It includes the details of the applicant’s technical skills, certification, internship work, research ideas, research outcomes, research goals, capabilities, qualities, work experience, presentations, seminars, extracurricular activities, etc. It is quite crucial to add all the relevant information required to consider the applicant’s candidature and future undertakings.

When applying for a PhD research position, you usually need to submit certain documents, including an academic CV and a cover letter for PhD application .
A PhD cover letter, also referred to as an academic cover letter, should be carefully crafted, well-formatted, and contain specific sections.
We'll show you how to do exactly that, along with a sample of an academic cover letter from a real person admitted to a PhD program at Lyon University in France.

What is an academic cover letter?

An academic cover letter is a document that PhD candidates submit alongside their academic CV when applying for a PhD.
Essentially, it's a cover letter for a PhD application.
It's not exactly the same as your regular business cover letter. Nor is it the same as a personal statement or a motivation letter .
The purpose of a cover letter for PhD application is to explain to the reader, who's likely a researcher or a professor, what you can contribute to their institution and/or field.
Moreover, in a PhD application cover letter, you should explain why you're a good match for the research position on the program.
Differences between academic cover letter and business cover letter
Both these documents serve different purposes and people use them in different settings:
- Academic cover letter is used when applying for positions in academia — most often for a PhD. More emphasis should be on education, research background and scholarly accomplishments. Moreover, it should explain what your contribution to the institution or field could be. It should also point the reader to your academic CV.
- Regular (business) cover letter is normally used when applying for any kind of job . Hence, more emphasis should be on skills and past experience while being tailored to a specific job position. You should also explain why you're a good fit for the position at the given company. It should point the reader to your resume.
There are also other documents people often mistake for an academic cover letter. These include:
- Motivation letter is especially relevant for fresh graduates when applying to a university, a non-profit organization, or voluntary work. A motivation letter focuses more on your interests and motives for applying.
- Personal statement. Also used in an academic setting. It's always written by an applicant, often a prospective student, applying to college, university, or graduate school. You explain why you've chosen a particular course and why you'd be good at it. Other names include a statement of purpose or a letter of intent .
Like every cover letter, an academic one also needs to include specific elements and content sections. These are:
- Header. Here, provide your contact information, such as your name, address, phone number, and email in the header of the document.
- Formal salutation. In an official letter like this one, you should address the reader in a professional and formal way. If you know who'll be reading your cover letter, go with Dear Dr. [Surname] or Dear Professor [Surname] . If you don't, go with Dear Sir/Madam .
- The specific PhD program or position. Clearly state in your letter which research position you're applying for or the name of the PhD program. A cover letter is usually read before a CV, so you need to make sure everything is clear.
- Your motivation. Explain why you're interested in the specific PhD position — it's one of the key elements you should include.
- Your academic background. Now, we don't mean you should list in detail every single university course you ever took. Instead, focus on the most relevant course for the PhD and describe in detail what you learned, any projects you worked on, why it was interesting (and optionally, what knowledge gap you identified). In this way, you also show a certain level of understanding of the field.
- Your ambition. Briefly mention what your ambitions, intentions, and plans are regarding your contribution to the field when securing your PhD position. How is your research going to enrich the field? How will the institution benefit from it?
- Conclusion. Keep the conclusion short. Contrary to a regular cover letter ending , there's no place for reiterating everything here. Simply thank the reader for your consideration and prompt them to read your academic CV.
- Formal sign-off. Just pick from the usual: Sincerely, Respectfully, Regards... Then throw in your full name in the following line.
And that's all you need to include!
Now, let's take a look at how to write your cover letter step-by-step.
Applying for a PhD will be a lot less stressful if you follow these tips on how to write a cover letter for a research position:
Consider researching the background of the organization, department, ongoing research projects, and their past and current projects. All that before you start writing your cover letter. Knowing these things will help you tailor your letter to the specific PhD opening.
Before you actually start writing, try to sit down and take a moment to think first. Assess how your past experiences helped you prepare for the PhD position and scribble down those that are most relevant and significant for the specific program. These include any research experiences, research projects, courses, or internships.
In the first few sentences of your letter, you need to convey some basic information about yourself and what specific position you're applying for. The opening should also state firmly why you're a strong candidate for the position/program, by using a persuasive and convincing wording. Here's an example: "As an MChem Chemistry graduate with a narrow focus on the sustainable synthesis of biologically active molecules from the University of Dundee, I am excited to apply to a "Synthesis Of Small Molecule Inhibitors Using Enzymes" PhD programme at an institution with such a strong foundation and numerous research groups in this field."
This is the place where you may explore more extensively on the educational journey that brought you here. Set the foundation for demonstrating how your Master's degree and research experience seamlessly translate into the next phase — the PhD program. Emphasize how your thesis contributes to the field's body of knowledge. Mention any other publications that support your thesis. And, if you can, identify any knowledge gaps or topics that can be explored further.
This paragraph provides the opportunity to neatly tie in together everything the reader has learned about you so far. You can show how your previous experience, coupled with what you'll learn during the PhD program, will come together to produce something novel to enrich the field. First, identify the courses or topics within the PhD program that interest you the most and how they relate to you developing your research further. Second, introduce your future research aspirations and goals. Third, point out how this future work will enrich the field and what will the intellectual merit be.
When ending your PhD cover letter, briefly refer your reader to your academic CV and encourage them to examine all of the remaining projects, courses, publications, or references . Finally, thank the reader for their time and consideration and let them know you look forward to hearing from them. Sign off.
Put the letter in a drawer and don't think about it for a day or two. Then, when you read it again, you'll have a fresh pair of eyes to see the cover letter in a new light. Maybe you decide some things are redundant, or you think of something that's more relevant. Or you know, find a typo here and there.
Just like an academic cover letter needs to contain certain content components, the formatting should also align with the structural expectations for this type of document.
How long should a cover letter be? How to finish a cover letter? And what about the cover letter font and spacing?
Here's a recommended academic cover letter format:
- Length. While STEM PhD candidates should aim for half a page to one page, humanities candidates can do 1–2 pages.
- Font. Use one of the classics: Times New Roman, Calibri, or Arial. Just no Comic Sans, we beg you. Keep the size between 10–12 points. Also remember to keep the text clean — no underlining, no bolding, and no color. However, you can use italics if appropriate.
- Spacing. Cover letter spacing isn't complicated. Just single-space your text, make sure there's a space between each paragraph, and leave a space between the concluding paragraph and your formal sign-off.
- Margins. The only rule here is that the margins on your cover letter should match those on your CV.
- Consistence with your CV. Your academic cover letter should match your academic CV in all formatting aspects — including the cover letter font and spacing. For example, Kickresume lets you choose a matching template for your CV and your cover letter, so no need to worry about this.
If the institution provided any instructions for formatting your academic cover letter, don’t get creative and follow their guidelines.
Finally, to help you tie everything we talked about together, here's a cover letter sample from a real person admitted to a PhD program at Lyon University in France.
These things ensured Herrera's cover letter was successful:
- She clearly states her motivation in the opening. In the first two paragraphs, Herrera introduces herself and her motivation to apply for the given PhD program.
- She describes educational and research background thoroughly. The main body of the letter is dedicated to describing Herrera's educational background, research projects, internships, and skills acquired throughout the way.
- She presents research aspirations in the letter. Herrera writes: "I have a history of proven results and profound findings. Given opportunity, I’m confident in my abilities to earn similar ground-breaking results while being part of your team."
Even though this example lacks some of the key elements, such as mentioning the specific PhD program or identifying the topics within the PhD program that interest her the most, this PhD cover letter still managed to impress the University of Lyon.

Matt Hofer, Professor of American Literary Studies, is the recipient of the Elizabeth Wertheim Faculty Research Award, an award that is given to senior faculty for noteworthy contributions to the English Department and UNM at large. Hofer published two books in 2020: LEGEND, The Complete Facsimile in Context and Bruce Andrews and Charles Bernstein’s L=A=N=G=U=A=G=E: The Complete Facsimile (both with Michael Golston). His monograph, Omnicompetent Modernists: Poetry, Politics, and the Public Sphere , then under contract with the University of Alabama Press, was published in 2022. This award also acknowledges the breadth and depth of Hofer’s teaching and service.
Bernadine Hernández, Assistant Professor of American Literary Studies, is the recipient of the Keleher/Telfair Hendon Award, an award that goes to junior professors for noteworthy contributions to the English Department. MSES awarded 17 scholarships, reflecting a total of $34,000, for the 2023-2024 academic year. Three recipients are from the UMN Twin Cities, KENNY HOANG, HANS LAGERQUIST, and IAN MCPHEE , who also received the Weinel Scholarship Designation.
PHOEBE KEYES was selected to receive a $5,000 2023-2024 Danaher/ARCS Foundation Scholar Award from the Minnesota Chapter of ARCS Foundation. ARCS focus is on improving access and support for underrepresented students to excel in STEM education and careers.

TIANYI LI , a graduate student advised by Raphael Stern, presented research they worked on with Ben Rosenblad, Shi’an Wang, and Mingfeng Shang at the 2023 IEEE Intelligent Vehicle Symposium (IV) in Anchorage Alaska. He met up with SHI’AN WANG , his co-researcher and recent CEGE graduate, who is now an assistant professor at University of Texas at El Paso.
MCKENZIE PEARSON (master’s student advised by Bill Arnold) received the 2023 Environmental Engineering and Science Foundation (EESF) Scholarship for Master’s Degree in Environmental Engineering. “I am passionate about creating sustainable solutions to the large environmental issues that we face today. I am very grateful to EESF for helping support my studies,” said Pearson. She chose UMN because “the professors and staff in CEGE were so welcoming and open to talking through all my options. They went the extra mile to make the admissions process personal. I really appreciate that culture.”
NOAH STRUCK , a structural engineering student in the Integrated Bachelor’s/Master’s program, received an ACI Foundation Fellowship for 2023-2024. This year the ACI Foundation awarded 19 fellowships and 14 scholarships to students from 27 different institutions. Struck represented UMN and CEGE at an international level at the 2023 Spring ACI Concrete Convention and was president of the Interdisciplinary Transportation Student Organization (ITSO). He credits his leadership experience in CEGE for opening opportunities such as the ACI Foundation Fellowship.
