Graduated and enrolled Stanford students may submit their dissertations and theses through Axess. The electronic submission process is free of charge. The service provides the ability to check your pre-submission requirements, and, when ready, you can upload a digital copy of your dissertation or thesis.

Who is eligible?

The online Dissertation and Thesis Center in Axess is currently available to Stanford PhD, JSD, DMA, and engineering-degree students only.

What to expect

  • After you have applied to graduate and have enrolled, you will see the Dissertation and Thesis Center in Axess.
  • You’ll want to  prepare your work for submission , following the guidelines for format and title page.
  • It may be helpful for you to check out  how to request to use copyrighted material , if you have questions.
  • Next, you’ll submit your dissertation or thesis by following this helpful  checklist for submitting your dissertation or thesis .
  • After submission, a  certificate of final reading will be created by your Final Reader, using the online submission workflow.
  • In addition, you’ll need to  obtain approval from each member of your reading committee .
  • After you have fulfilled all requirements and your dissertation or thesis has been approved by the University Registrar, it will be cataloged, preserved in the Stanford Digital Repository, and made available online via  SearchWorks , the online library catalog. 
  • Please note: if embargoed, your dissertation or thesis PDF will be available only to Stanford affiliates for the duration of the embargo.

  • Submitting the Dissertation

After successfully completing the revisions recommended during the oral exam and obtaining the signatures of all reading committee members, which are not necessarily the same people from the oral exam committee, the dissertation is ready for submission to the Office of the University Registrar.

The American Psychological Association (APA) publication guidelines normally apply to GSE doctoral dissertations, but is not required if the advisor and relevant committees determine that an alternative, and academically acceptable, protocol is more appropriate.

General formatting, submission directions and deadlines are published by the Stanford University Registrar. All doctoral students should read these instructions thoroughly and contact the appropriate Registrar’s Office staff or the GSE Doctoral Programs Officer with any questions. Students should read the supplemental materials required for submission closely as it can be confusing. Dissertation submission information is available at:  https://registrar.stanford.edu/students/dissertation-and-thesis-submission .

The Registrar's Office offers students the option to submit their dissertation/thesis in electronic format. This electronic submission process is free of charge and allows students the ability to log into Axess and check their pre-submission requirements in the eDissertation/eThesis Center under the academics tab. Once these requirements have been met the "Proceed to Dissertation/Thesis Submission page" button will open up in the student eDissertation/eThesis center and this will allow the student to proceed and upload a soft copy of their dissertation/thesis.

Prior to online submission:

  • “Application to Graduate” filed online through Axess by the appropriate deadline
  • Confirm the names of all reading committee members in Axess, and designate a Final Reader
  • Confirm candidacy as valid through your degree conferral date
  • Collect email signatures from Reading Committee
  • Review Steps for Submission of the Dissertation
  • Confirm completion of all required University Milestones

All dissertation submissions must be completed in their entirety before 12  noon on the deadline day for the applicable quarter. When a student misses the submission deadline, she or he must register and submit their dissertation the following quarter, or take an approved leave of absence and register upon her or his return. Students must be registered for the quarter in which they submit their dissertation and graduate.

Students in their final quarter who have completed all milestones aside from the oral exam and/or dissertation submission can apply for a one-time, $150, Graduation Quarter. This is a special registration status in the final quarter at Stanford with the same status as TGR but with a tuition charge of $150, instead of the full TGR rate. The Stanford Dissertation Browser case study

For most of the course, we have focused on visualizing the data directly. For the last few weeks, though, we have visualized the results of an initial modeling step, like fitting PCA or topic models. These kinds of models can help in creating abstractions, and reasoning effectively through abstraction is often a source of discovery.

The ideal is to apply modeling to lift concrete datasets into more meaningful abstractions, which can then be visualized to support high-level reasoning. Reality, however, is rarely as simple is that. In practice, models can go awry, visualizations can be misleading, and results can be misunderstood. Indeed, this complexity is one of the reasons data science training takes years.

The authors of this week’s reading suggest a mnemonic: “interpret but verify.” This captures several principles,

  • Interpret: Models and visualizations should be designed in such a way that users can draw inferences that are relevant to their understanding of a domain.
  • Verify: It is the designer’s responsibility that these inferences be accurate.

The authors ground their discussion by considering a specific design project: The Stanford Dissertation Browser. For this project, university leadership wanted to discover ways to promote effective, interdisciplinary research. Topic models helped transform the the raw dissertation text data into higher-levels of abstraction. Research themes were reflected in topics, and the interdisciplinary reach of certain PhD theses was reflected in their mixed-memberships.

In several initial implementations of their interface, it was easy to draw incorrect inferences. For example, in some dimensionality-reduction outputs, it seemed that petroleum engineering had become closer to biology over time, but this turned out to be an artifact of the reduction and was not visible when using the original distances. Another example — some words were used in neurobiology (voltage, current, …) led to theses in this department to appear very close to electrical engineering, when they really had more in common with those in other biology departments.

The authors carefully tracked and manually verified inferences made by a group of test users. Based on this qualitative evaluation, they were able to refine their modeling and visualization approach. For example, they used a supervised variant of topics models, and they replaced their original dimensionality reduction scatterplot with a visualization of topic-derived inter-department similarities.

Overall Strategy

To implement the “interpret but verify” idea, the authors recommend,

  • Align the analysis, visualization, and models along appropriate “units of analysis.”
  • Verify that the modeling results in abstractions / concepts that are relevant to the analysis, and modify accordingly.
  • Progressively disclose data to support reasoning at multiple levels of abstraction.

The units of analysis in the dissertation browser were departments and theses. In general, these are the “entities, relationships, and concepts” of interest, and they can often linked to existing metadata.

Verification can be guided both by quantitative metrics (e.g., test error) and qualitative evaluation (e.g., user studies). For revising models, it can be possible to refit parameters, add labels, modify model structure, or simply override the model with user-provided values.

Progressive disclosure allows the user to go up and down the ladder of abstraction . It makes it possible to navigate large-scale data while supporting verification through specific examples.

In the dissertation browser, this is implemented through semantic zooming (from departmental to dissertation views) and linked highlighting (revealing the dissertation abstract on mouseover).
